How to reply to customer reviews with AI

Answer every Google, Tripadvisor or shop review with a friendly, personal reply in a couple of minutes a day, and approve each one before it goes live.

Steps

  1. Write a short note about your business and how you like to talk to customers, then paste it into an assistant along with a few of your best past replies, so it learns your voice.

    Tool: Claude

    Try this prompt:
Here is how my café talks to customers and three replies I liked. Learn the tone. Keep replies under 60 words, use the reviewer's first name, and never offer refunds or discounts.
  2. Paste in new reviews each morning. Ask for a warm thank-you for good reviews and a calm, specific answer for complaints that invites the customer to get in touch.

    Tool: ChatGPT

    Try this prompt:
Draft replies to these 5 reviews. For any review under 4 stars, apologise once, mention the specific problem, and invite them to email us. Don't argue.
  3. Read each draft, fix anything that isn't true, and post it yourself. Once you trust the tone, you can let an automation collect new reviews and prepare drafts for you, still without posting on its own.

Questions

Should the AI post replies on its own?

No. Have it draft and approve each reply yourself. A wrong promise in a public reply is hard to take back.

Do customers mind AI-written replies?

They mostly notice whether the reply is specific and polite. Edit each draft so it mentions what the customer actually wrote.
