How to take meeting notes and send follow-ups with AI

Stop typing during calls: get a summary, decisions and to-do list after every meeting, plus a ready-to-send follow-up email.

Steps

  1. Use an AI note-taker during your video calls. Tell the other people that the call is being transcribed.

    Tool: Granola

  2. After the call, ask for the decisions, who does what by when, and any open questions.

    Tool: Otter.ai

    Try this prompt:
From this meeting, list the decisions, each action with an owner and a date, and the questions we didn't answer.
  3. Have the assistant draft a short follow-up email to everyone who was there. Read it, fix names and dates, and send it yourself.

    Tool: Claude

    Try this prompt:
Write a short, friendly follow-up email to the meeting attendees with the decisions and action items. Keep it under 150 words.

Questions

Is it OK to record people?

Always tell people at the start that the call is being recorded or transcribed, and follow the rules where you live. In Norway and the EU, people should know and agree.
