How to chase unpaid invoices politely with AI

Get paid on time by sending friendly reminders that become firmer step by step, without spending your evenings writing them.

Steps

  1. Ask an assistant to write three reminder emails: a friendly nudge a few days after the due date, a clearer second reminder, and a firm final notice. Keep them in your own words.

    Tool: ChatGPT

    Try this prompt:
Write three short invoice reminder emails for a small design studio: day 3 friendly, day 14 clear, day 30 firm but polite. Include placeholders for name, invoice number, amount and due date.
  2. Keep your open invoices in a simple sheet with the customer, amount, due date and status. Ask the assistant to tell you each morning which ones need which reminder.

    Tool: Claude

    Try this prompt:
Here is my list of open invoices. Which ones are 3, 14 or 30 days overdue today, and which reminder should each get?
  3. When you are comfortable, connect the sheet and your email to an automation that prepares the right reminder as a draft on the right day, so you only check and press send.

Questions

Will this upset my customers?

Polite, regular reminders usually come across as organised, not pushy. Keep the first one light and only escalate when there's no answer.

Can it send the reminders automatically?

It can, but start with drafts you approve. Switch to automatic sending only for the first friendly nudge once you trust it.
